About the Role

You will provide comprehensive administrative support to executive leaders, including the CEO and Deputy CEO. You will manage calendars, coordinate meetings and travel, handle correspondence and documentation, support financial administration, and maintain confidentiality while coordinating with internal and external stakeholders.

Requirements

  • 5+ years of experience as an Executive Assistant, Personal Assistant, or in a comparable administrative role
  • Excellent organizational and multitasking skills
  • Strong attention to detail
  • High integrity, discretion, and professionalism
  • Strong written and verbal English communication skills
  • Proficiency in MS Office and collaboration tools, including Excel, Word, and Outlook
  • Ability to anticipate needs and take initiative
  • Ability to work on-site at the Zurich office every working day
  • Live within commutable distance of Central Zurich
  • Pre-existing right to work in Zurich without company sponsorship

Responsibilities

  • Provide administrative support to executive team members
  • Manage calendars, appointments, and meetings
  • Handle correspondence, documents, and executive communication flows
  • Arrange travel, itineraries, and expense reporting
  • Support invoice payments, reimbursements, and administrative or financial tasks
  • Prepare meeting materials and follow up on action items
  • Coordinate executive activities with internal departments and external partners
  • Maintain confidentiality when handling sensitive information
