About the Role
You will support executive leaders by managing complex calendars, coordinating meetings and travel, preparing materials, and tracking follow-up actions. You will process expenses and administrative records, coordinate vendors and office logistics, and support onboarding, events, and employees’ onsite needs.
Requirements
- 5+ years of experience in executive administration, office management, or a related administrative support role
- Experience supporting senior executives and managing complex calendars
- Experience processing expenses, reimbursements, and administrative records
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills
- Strong interpersonal and customer-service skills
- Professionalism, discretion, and judgment when handling confidential information
- Proficiency with Slack and Microsoft Office 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint
- Ability to anticipate needs, take initiative, and work with minimal supervision
- Must be located in the Washington, DC metropolitan area and able to work onsite in McLean three days per week
Responsibilities
- Manage complex calendars for multiple executives and resolve scheduling conflicts
- Coordinate leadership meetings, offsites, executive travel, meeting materials, and agendas
- Track follow-up actions and maintain visibility of key commitments
- Manage expense reporting and reconciliation through Concur and Unanet
- Review expense submissions and partner with Finance to resolve discrepancies
- Maintain expense records and support purchasing, invoices, and vendor coordination
- Manage day-to-day operations of the McLean office
- Coordinate mail, packages, office access, supplies, equipment, and vendor services
- Support onboarding, offboarding, onsite meetings, team gatherings, and company events
