About the Role
You will provide dedicated executive support to the Chief Science Officer while managing the Boston office end to end. You will oversee calendars, travel, meeting preparation, office operations, vendors, budgets, visitors, new-hire experiences, and events.
Requirements
- Experience supporting senior executives in fast-paced or high-growth technology or research environments
- Office management or facilities coordination experience with vendor and budget ownership
- Complex calendar and travel coordination experience
- Business context awareness and ability to identify conflicting priorities
- Event planning and vendor management experience
- Ability to work in the Boston office five days per week
- Google Workspace skills
- Experience supporting a technical, research, or academic leader
- Experience hosting external partners or clients
- Experience scaling office operations
- Slack experience
Responsibilities
- Manage the CSO's complex calendar and protect time for research and high-leverage external work
- Prepare meeting briefings, agendas, and context, and track follow-ups and commitments
- Coordinate domestic and international travel, conferences, speaking engagements, and partner visits
- Serve as a point of contact for internal and external stakeholders seeking time with the CSO
- Provide backup coverage for other executive assistants
- Manage Boston office operations, including supplies, catering, mail, seating, and workspace upkeep
- Manage facilities vendors, building-management relationships, contracts, service issues, and access
- Welcome visitors and serve as the on-site office contact
- Support new hires with desk setup, equipment coordination, and on-site welcomes
- Manage partner and visitor logistics and experiences
- Plan office events, team socials, dinners, and offsites
- Manage office and event budgets, track spending, and flag variances
- Travel occasionally for events
