About the Role

You will provide high-level administrative support to senior leadership in a Co-CEO leadership model. You will manage complex calendars, meetings, travel, briefing materials, expenses, budgets, projects, events, and team coordination while anticipating needs and resolving issues with minimal direction.

Requirements

  • 10+ years of experience as an executive assistant, administrative manager, or similar role supporting senior leadership
  • Ability to maintain confidentiality, discretion, and professionalism with sensitive information
  • Strong organizational skills, attention to detail, and ability to manage multiple priorities
  • Ability to improve processes and remain calm in disorganized situations
  • Ability to work with urgency and anticipate subsequent tasks
  • Proficiency with Google Suite, Microsoft Office Suite, Adobe Suite, and macOS
  • Familiarity with communications strategies, executive affairs, and leadership environments
  • Excellent written and verbal communication skills
  • Flexibility to work across time zones

Responsibilities

  • Collaborate with Executive Assistants in the CEO office to provide seamless support across leaders
  • Build relationships with the broader team and act as a gatekeeper for executives
  • Manage complex executive calendars, meetings, logistics, deadlines, and incoming requests
  • Prepare briefing materials, agendas, minutes, and records for meetings, speaking events, travel, and key initiatives
  • Coordinate domestic and international travel, including aircraft, transportation, accommodations, visas, customs, and private aviation providers
  • Monitor travel plans and adjust logistics in response to changing priorities, weather, delays, and unforeseen circumstances
  • Coordinate cross-functional projects and events, including timelines, deliverables, stakeholders, security, and events teams
  • Track team tasks, budgets, and meeting schedules, and support onboarding for new team members
  • Process expense reports, purchase orders, budget reconciliations, receipts, and invoices
