About the Role
You will provide facilities and administrative support for the Hong Kong office. You will welcome guests, prepare meeting spaces, coordinate vendors and office amenities, support visitors and desk planning, organise employee events, and assist with invoices and expense administration. You will work on-site five days per week.
Requirements
- Bachelor's degree in business management or a related field, or equivalent experience and training.
- Administrative or office-support experience.
- Customer service skills.
- Ability to work independently, take initiative, prioritise, and manage multiple tasks.
- Organisation and time-management skills.
- Written and verbal communication skills.
- Proficiency with Microsoft Office, including Excel, Word, and PowerPoint.
- Ability to engage internal and external stakeholders and remain solutions-focused under pressure.
- Ability to work on-site five days per week with reliable and predictable availability.
Responsibilities
- Serve as the professional first point of contact for guests and visitors.
- Prepare meeting and conference rooms, refreshments, video-conferencing, and AV equipment.
- Support daily office operations, facilities maintenance follow-up, supplies, courier dispatches, and business-card orders.
- Maintain pantry supplies and administer workplace supplier accounts and platforms.
- Coordinate catering, cleaning, and facilities vendors, including quotations, service agreements, and delivery quality.
- Maintain visitor logs, process visit requests, and prepare visitor access, desks, and registrations.
- Partner with Tech Services on desk planning, people moves, and visitor facilitation.
- Plan and deliver employee events, social activities, and community events.
- Cross-check invoices, code expenses, and liaise with Accounts Payable on reporting.
- Take on additional duties needed to keep the office running smoothly.
