About the Role

You will provide high-level administrative support to multiple senior leaders. You will manage complex calendars across time zones, coordinate meetings and travel, prepare documents and communications, track actions, process expenses and procurement requests, and maintain confidential records. You will also improve administrative workflows and use approved AI tools to increase productivity and quality.

Requirements

  • At least 5 years of experience as an Executive Assistant
  • Experience supporting multiple senior stakeholders
  • Experience in financial services fintech or technology-driven environments is advantageous
  • Ability to work across time zones and support senior leaders remotely
  • Strong organisational proactive and detail-focused approach
  • Ability to work independently manage competing priorities and take initiative
  • Strong relationship-building skills with senior stakeholders and service providers
  • Flexibility to support a broad range of administrative tasks
  • Strong problem-solving skills
  • High discretion and understanding of confidentiality requirements
  • Strong written and verbal communication skills
  • Advanced knowledge of Microsoft Word Excel PowerPoint and Outlook
  • Familiarity with AI-enabled productivity tools
  • Self-directed and delivery-focused approach

Responsibilities

  • Provide administrative support to multiple senior leaders
  • Manage complex calendars across time zones
  • Screen and manage executive inboxes
  • Prepare agendas papers minutes and action logs
  • Track meeting actions and follow up with owners
  • Arrange domestic and international executive travel
  • Process procurement requests and purchase orders
  • Reconcile corporate credit card statements and process expenses
  • Maintain documents files and records
  • Support office administration and administrative team coverage
  • Complete mandatory risk and compliance training
  • Use AI tools to improve administrative processes
  • Identify workflow improvements and share best practices
