About the Role

You will support two to three sales executives across EMEA by managing multi-time-zone calendars, coordinating customer engagements and interviews, arranging travel and events, processing expenses and contracts, and preparing executive materials. You will track requests, prioritize schedules, and manage confidential information.

Requirements

  • 5+ years of executive administrative experience.
  • Experience supporting Sales or other customer-facing organizations.
  • Advanced Gmail and Google Calendar skills.
  • Experience supporting multiple executives across time zones.
  • Ability to communicate with C-level Executive Assistants and external customer stakeholders.
  • C1 English proficiency.
  • Experience with meetings, events, travel logistics, budgets, vendor coordination, and high-volume interview scheduling.
  • Discretion when handling confidential information.
  • Experience identifying and driving process improvements.
  • Ability to learn AI tools and systems.
  • Flexibility to occasionally support executives after regular office hours.

Responsibilities

  • Manage and optimize complex multi-time-zone calendars.
  • Plan and execute executive travel, offsites, and high-visibility events.
  • Coordinate high-volume interviews for Sales hiring.
  • Support customer briefings, meetings, and follow-ups.
  • Maintain records of meetings, events, and requests.
  • Prepare briefing materials, agendas, and follow-up documentation.
  • Provide coverage for other executive staff.
  • Handle confidential information with discretion.
  • Manage expenses and contracts.
  • Prioritize meeting requests and schedules.
  • Identify and drive process improvements.
  • Travel occasionally across EMEA.
