About the Role
You will prepare executive meetings and speaking engagements, ensure rooms and technology are ready, and welcome external guests. You will manage local logistics, couriers, errands, travel-day adjustments, and event setup. You will coordinate leadership meetings, recognition projects, and offsites while serving as an on-the-ground contact for coaches and facilitators.
Requirements
- High bias for action and willingness to handle tasks of any size
- Attention to detail in documents, gifts, and meeting environments
- Ability to handle sensitive information and high-profile guests confidentially
- Ability to adapt quickly to schedule changes and work under pressure
- Ability to track multiple moving parts, including vendor deliveries, presentation materials, events, and offsites
- Ability to liaise with external workplace stakeholders
Responsibilities
- Prepare executive meetings, including materials, technology, and meeting spaces
- Coordinate logistics and materials for internal speaking engagements and events
- Welcome external guests and provide hospitality
- Manage local office, venue, courier, and travel-day logistics
- Run administrative errands and handle urgent operational requests
- Liaise with internal stakeholders and external workplace teams
- Coordinate operational and space logistics for leadership meetings, milestones, and stakeholder events
- Source, coordinate, and deliver internal recognition projects and milestone keepsakes
- Support the distribution, courier logistics, and preparation of outward-facing materials
- Travel to selected offsites and leadership events to oversee setup and provide logistics support
- Serve as the on-the-ground contact for external coaches and facilitators
