About the Role

You will lead administrative operations across office locations, manage and coach Office Managers, Executive Assistants, and Receptionists, and maintain consistent service standards. You will oversee coverage planning, resolve cross-location issues, coordinate logistics, manage administrative vendors and budgets, and report on operational performance.

Requirements

  • 5+ years of progressive administrative, office management, or operations experience
  • At least 2 years of supervisory or team-lead experience
  • Ability to build and enforce consistent processes across distributed teams
  • Organizational, prioritization, and problem-solving skills
  • Written and verbal communication skills
  • Comfort working with senior leadership and external vendors
  • Experience managing or coordinating teams across multiple physical locations
  • Proficiency with standard office and scheduling software such as Microsoft 365 or Google Workspace

Responsibilities

  • Manage and coach Office Managers, Executive Assistants, and Receptionists across locations
  • Conduct regular check-ins and performance reviews
  • Own scheduling, coverage continuity, and backup planning
  • Set and maintain administrative standards, procedures, and service levels
  • Standardize front desk, executive support, visitor, and mail-handling procedures
  • Assist with space planning, office moves, supply management, vendor management, and administrative budgeting
  • Resolve cross-location facilities, vendor, scheduling, and staffing escalations
  • Coordinate logistics for company events, executive visits, and all-hands meetings
  • Monitor administrative performance and operational metrics
  • Ensure compliance with company policy and workplace regulations
