About the Role

You will manage the daily operation of two Edinburgh offices and provide frontline administrative support. You will welcome visitors, cover reception, manage supplies, facilities, expenses, meetings, deliveries, events, communications, and safety checks while supporting regional projects and coordinating with global teams across time zones.

Requirements

  • At least three years of experience in a similar role
  • Working knowledge of Outlook, Teams, Word, Excel, and PowerPoint
  • Relationship-building skills with employees, customers, and service providers
  • Problem-solving ability
  • Ability to manage varied tasks flexibly
  • Strong internal and external client communication skills
  • Understanding of confidentiality and discretion
  • Excellent English proficiency
  • First Aider or Fire Warden training is desirable
  • Service-industry experience is desirable

Responsibilities

  • Manage the Tanfield and West Register Street offices in Edinburgh
  • Welcome guests and provide reception coverage
  • Order office consumables, stationery, kitchen supplies, and safety-related facilities
  • Conduct health and safety and compliance checks
  • Record and control office expenses against allocated budgets
  • Prepare expense reports
  • Maintain tidy, secure office areas and meeting rooms
  • Arrange meeting catering and refreshments
  • Coordinate couriers and deliveries
  • Maintain office equipment and appliances in working order
  • Provide holiday coverage within the administrative team
  • Manage office events and support Culture Clubs
  • Coordinate office communications and updates
  • Support projects required for smooth office operations
  • Support the Divisional Head with effective office operations and regional projects
  • Coordinate scheduling and communication across time zones and locations
  • Maintain monthly health and safety checklists and respond to emergencies
  • Apply global policies and initiatives consistently at the local level
