About the Role

You will manage and protect the CEO’s calendar, coordinate meetings across time zones, track action items, prepare briefs, and ensure timely follow-through. You will arrange travel and on-site logistics, support events and hospitality, coordinate office facilities and vendors, and handle correspondence, filing, expenses, and other confidential administrative work.

Requirements

  • Have at least 3 years of experience supporting senior executives in a fast-paced environment
  • Be based in or able to work daily from the NYC office
  • Demonstrate sound judgment, discretion, and professionalism with sensitive information
  • Possess outstanding organizational and written and verbal communication skills
  • Remain calm under pressure, anticipate needs, and solve problems proactively
  • Be comfortable with calendars, document tools, Slack, travel applications, and learning new systems

Responsibilities

  • Manage, prioritize, and protect the CEO’s schedule
  • Coordinate internal and external meetings across time zones
  • Track action items and ensure follow-through
  • Prepare briefs and resolve outstanding tasks
  • Book and adjust travel, itineraries, and on-site logistics
  • Support team events, social events, offsites, dinners, and external forums
  • Keep the NYC office organized and welcoming
  • Coordinate with building management and vendors on facilities issues
  • Handle correspondence, filing, expenses, and other operational tasks confidentially
