About the Role

You will coordinate daily office operations, manage suppliers and budgets, maintain communication across the business, oversee security and safety procedures, receive visitors and calls, and resolve building issues. You will also coordinate office moves, support new starters, manage meeting facilities, process procurement, maintain documents, and provide holiday coverage.

Requirements

  • Problem-solving ability
  • Ability to manage multiple tasks and work additional hours when deadlines require it
  • Relationship-building skills with employees, customers, and service providers
  • Good knowledge of Word, Excel, and PowerPoint
  • Strong internal and external client communication skills
  • Understanding of confidentiality and discretion
  • German language proficiency

Responsibilities

  • Coordinate and manage office operations consistently across locations
  • Maintain communication across Support Services and the wider business
  • Manage budgets for assigned office locations
  • Coordinate office security with IT, building reception, and security teams
  • Book visitors and attend building management meetings when required
  • Receive telephone calls and meetings and relay messages
  • Manage health and safety policies, procedures, and checklists
  • Coordinate contractors and monitor building issues through completion
  • Oversee office moves, refurbishments, and layout changes
  • Orient new starters and maintain office manuals
  • Manage meeting rooms, audiovisual equipment, hospitality, and catering
  • Perform scanning, printing, filing, and other general administrative duties
  • Manage office suppliers and obtain cost-effective service
  • Track monthly office spending and notify finance of cash-flow issues
  • Process procurement activities
  • Manage office, stationery, and kitchen consumables
  • Provide holiday coverage within Support Services
  • Complete risk, compliance, Fire Marshal, and First Aider training
  • Upload and maintain office documents in SharePoint
  • Support office sustainability initiatives
