About the Role

You will support multiple R&D leaders by managing complex calendars, coordinating cross-functional scheduling, and preparing materials for leadership meetings. You will manage travel and expenses, track actions and requests, support planning cycles and office events, coordinate leadership visits, and handle confidential information with discretion.

Requirements

  • 5+ years of executive administrative experience
  • Advanced Gmail and Google Calendar calendar-management skills
  • Experience supporting multiple executives across time zones
  • C1 English proficiency
  • Experience planning meetings, events, travel logistics, budgets, vendor coordination, and interview scheduling
  • Willingness to travel occasionally
  • Interest in AI tools and workflow automation
  • Ability to make independent decisions and manage competing priorities

Responsibilities

  • Manage and optimize complex multi-time-zone calendars for R&D leaders
  • Coordinate scheduling across teams and organizations
  • Support engineering planning cycles, quarterly business reviews, and cross-team syncs
  • Manage end-to-end expense and travel processes
  • Prepare briefing materials, agendas, and follow-up documentation for executive meetings
  • Track action items, follow-up loops, and meeting cadences
  • Coordinate office events and team activities with Belgrade site operations
  • Maintain accurate records of meetings, events, and requests
  • Provide support for visiting leadership and other assistants
  • Handle confidential information with discretion
