About the Role

You will provide top-tier administrative and operational support to senior executives, often serving as the General Partner's right-hand person. You'll manage both professional and personal tasks to ensure the executive's time is optimized and company goals are met. You'll need exceptional organizational, communication, and multitasking skills, along with the ability to handle sensitive information with discretion. This position is based in Miami, and you'll need to commute to the Coconut Grove area regularly, with occasional travel outside Miami for company or industry events.

Requirements

  • Ability to manage through a crisis and adapt plans quickly when changes arise
  • Highly organized and detail oriented
  • Excellent verbal and written communication skills
  • Proven ability to prioritize tasks effectively in a fast-paced environment
  • Advanced skills in office productivity software (e.g., Microsoft Office Suite, Google workspace)
  • Ability to handle sensitive information with discretion and confidentiality
  • Strong analytical and problem-solving skills
  • Bachelor's degree preferred (Business Administration or related field)
  • 2–3+ years of experience supporting C-level executives in a similar role
  • Expertise in managing budgets, filing systems, or overseeing special projects is a plus

Responsibilities

  • Coordinate complex schedules, including meetings, appointments, and events, and resolve scheduling conflicts proactively
  • Plan and manage travel logistics, including flights, accommodations, transportation, and itineraries
  • Serve as the primary point of contact for internal and external communications, screening calls, emails, and correspondence
  • Create presentations, reports, memos, and other materials, handling sensitive documents with confidentiality
  • Organize team events, off-site meetings, and executive outreach activities
  • Act as a liaison with the executive team, investors and portfolio companies by coordinating meetings, preparing agendas, and taking and posting minutes
  • Perform clerical tasks such as maintaining filing systems, bookkeeping, expense reporting, and ordering supplies
  • Handle personal tasks for the executive as needed, such as home management, family scheduling or event planning
  • Order supplies, manage equipment, and coordinate with service providers and vendors
  • Assist with project coordination, tracking progress, and ensuring deadlines are met
