About the Role
You will support two senior executives by managing overlapping calendars, coordinating work travel, planning offsites and team events, preparing related communications and pre-reads, and handling confidential information. You will balance changing priorities across both organizations and take on projects that reduce workload for the broader team.
Requirements
- Bachelor's degree
- At least 5 years of experience
- Administrative experience supporting a C-suite or senior executive at a company or large organization
- Experience managing high-volume executive calendars and schedules
- Ability to work onsite at least 3 days per week in the Palo Alto office
- Ability to handle confidential and sensitive information with discretion
- Ability to learn organizational tools including Asana and AI tools such as Claude
- Proficiency with Google Suite and standard office software
Responsibilities
- Manage complex overlapping calendars for two executives
- Protect executive time, resolve scheduling conflicts, and anticipate scheduling issues
- Coordinate work-related travel, flights, hotels, and itineraries
- Plan and execute Tech Center offsites and recurring team events
- Coordinate venues, catering, agendas, content, and day-of logistics
- Coordinate pre-reads and communications for social events and all-hands meetings
- Complete scoped projects such as reorganizing shared documentation
- Communicate with internal teams, external partners, and scientific staff on behalf of executives
- Balance changing priorities across two teams
