About the Role

You will coordinate Montreal workplace operations and provide recurring administrative support to executives. You will manage office readiness, supplies, deliveries, access, vendors, facilities follow-up, calendars, travel, appointments, expenses, reminders, events, communications, and logistics. You will maintain organized trackers and documentation while gradually taking on broader executive-assistant responsibilities.

Requirements

  • Experience in executive support, workplace coordination, office administration, or a similar operations role
  • Ability to handle confidential information and build trust through consistent judgment and follow-through
  • Experience supporting calendars, scheduling, and travel coordination
  • Strong organizational skills, follow-through, and attention to detail
  • Strong written and verbal communication skills
  • Good judgment, professionalism, and discretion when handling sensitive or time-sensitive tasks
  • Comfort working in Google Workspace, Slack, and related coordination tools
  • Ability to manage recurring responsibilities independently in a fast-moving environment
  • Working proficiency in French and English

Responsibilities

  • Coordinate Montreal workplace operations, including office readiness, supplies, deliveries, access, vendors, and facilities follow-up
  • Support workplace-related coordination across the company
  • Support the CEO and CTO with recruiting coordination and occasional onboarding logistics
  • Support recurring executive and workplace processes, including operational communications and mail logistics
  • Support executive and company events, including offsite, holiday-event, meeting, and communication logistics
  • Maintain organized trackers, documentation, and recurring processes
  • Build working relationships across the company and follow through on details independently
  • Take on broader executive assistant responsibilities as your company knowledge and trust develop
