About the Role
You will manage complex advisory and collection-management engagements from intake through post-sale processing. You will create project plans, coordinate auction logistics, maintain operational standards, ensure accurate Salesforce records, communicate with clients, and identify process improvements for senior leadership.
Requirements
- Five to seven years of experience at a major auction house or equivalent in a client-facing or operations capacity.
- Familiarity with the auction consignment lifecycle, including estimates, reserves, shipping, insurance, post-sale accounting, and AML/KYC requirements.
- Ability to manage multi-sale, multi-lot consignments with concurrent stakeholders.
- Written and verbal communication skills, including drafting client-facing proposals and correspondence.
- Salesforce or comparable CRM proficiency.
- Excel or Google Sheets proficiency.
Responsibilities
- Lead complex advisory engagements end-to-end, including multi-sale auction consignments.
- Build and maintain detailed project plans, timelines, and milestone trackers.
- Coordinate pre-sale and post-sale logistics, including transport, reserve confirmation, AML/KYC compliance, invoicing, and payment delivery.
- Serve as a high-touch client contact throughout each engagement.
- Maintain the department operational playbook, including project intake, consignment management, CRM standards, file protocols, and post-sale processing.
- Maintain Salesforce data integrity across the advisory department, audit entries, and escalate standards issues.
- Identify operational gaps and propose improvements to the Chief of Art Services.
