About the Role

You will manage daily office operations, deliver a welcoming employee and guest experience, coordinate events and onboarding logistics, and maintain workplace procedures. You will oversee facilities, vendors, maintenance, space assignments, and workplace issue resolution while collaborating with internal partners across time zones.

Requirements

  • Bachelor’s degree or equivalent experience
  • 2–4 years of facilities or workplace experience
  • Customer service and interpersonal skills
  • Attention to detail
  • Organisational and time-management skills
  • Written and verbal communication skills
  • Ability to work independently with minimal supervision
  • Experience working with a remote manager and distributed teams
  • Knowledge of local health and safety laws, environmental regulations, and compliance standards
  • Comfort working with C-suite executives
  • Proficiency with Google Workspace, Slack, and Jira
  • Ability to process invoices for manager approval
  • Ability to lift 30–40 lbs (13.6–18.1 kg)
  • Ability to work safely and confidently as a lone worker

Responsibilities

  • Manage front-desk and guest services, including check-ins, events, and contractors
  • Oversee daily workplace operations, including food programs, deliveries, mailroom, décor, events, and supplies
  • Develop and maintain office procedures and workplace programming
  • Maintain a welcoming, safe, and professional office environment
  • Promote inclusion, hospitality, collaboration, and productivity across assigned offices
  • Plan and execute employee lunches and engagement activities
  • Coordinate onboarding logistics, desk setups, office tours, and workplace-resource introductions
  • Coordinate onsite meeting and event logistics, furniture setups, and food orders
  • Conduct morning workplace walkthroughs and escalate recurring issues
  • Support vendor relationships and ensure service-level agreements are met
  • Coordinate preventative and urgent facility maintenance, repairs, and building work orders
  • Update floor plans, perform moves, and coordinate space assignments
  • Collaborate with Workplace, Security, IT/AV, and Communications partners
  • Escalate workplace feedback, issues, and suggestions and support their resolution
  • Maintain a flexible schedule for meetings and calls across US, EMEA, and APAC time zones
