About the Role
You will manage incoming recruiting requests, resolve or route them, and keep requesters informed. You will configure and maintain the ATS, manage access and licenses, clean recruiting data, produce reports, build automations and AI tools, document process changes, and support recruiting-program rollouts.
Requirements
- 1+ year of recruiting coordination or recruiting operations experience
- Experience administering or configuring an applicant tracking system
- Ability to configure ATS jobs, stages, interview plans, and forms independently
- Experience pulling and sharing recruiting data and maintaining reports
- Experience building an AI prompt workflow, custom GPT or Claude Project, or automation
- Triage and escalation judgment
- Spreadsheet and basic data-work skills, including filters and pivot tables
- Written communication skills for Slack and documentation
- Ability to work from the San Francisco office Tuesday through Thursday
Responsibilities
- Manage intake for requests and questions from recruiters, coordinators, and hiring managers
- Set up and update the ATS, including jobs, interview plans, interviewer assignments, and interviewer pools
- Manage system access, permissions, and tool licenses
- Maintain clean recruiting data by loading candidate information, merging duplicates, correcting sources, archiving stale records, and flagging suspicious applications
- Align open ATS roles with the headcount plan and flag mismatches
- Pull recruiting data and maintain recurring reports
- Build and maintain workflows, automations, and AI-powered tools
- Create how-to guides, video walkthroughs, onboarding materials, and announcements
- Identify recurring request patterns and create lasting fixes
- Support recruiting-program rollouts and own smaller operations projects
