About the Role

You will build and maintain operational infrastructure, including procedures, service-level agreements, documentation, and scalable workflows. You will manage travel reservations, inventory, vehicle records, security equipment, contracts, calendars, budgets, billing coordination, and expenses. You will lead internal process-improvement initiatives, coordinate with vendors and IT partners, support onboarding, and provide administrative and operational support to the CEO.

Requirements

  • Background in operations, logistics, supply chain, government, or military environments
  • Experience in project management, process development, and contract management
  • Organizational and documentation skills with attention to detail
  • Familiarity with inventory tracking and basic accounting principles
  • Proficiency with Google Suite, spreadsheets, and operational platforms
  • Comfort working in a fast-paced, high-accountability environment
  • Veteran status or familiarity with military environments
  • Experience supporting senior leadership or founders
  • Exposure to security operations or high-stakes environments
  • Experience running a business or operating with ownership-level responsibility

Responsibilities

  • Build and maintain operational infrastructure, including SOPs, SLAs, and internal documentation
  • Create scalable systems for daily operations and long-term growth
  • Maintain tools, documentation, and workflows as the central source of truth
  • Build traveler profiles and manage reservations for teams and principals
  • Track vehicle fleet, insurance, maintenance records, security equipment, and communications equipment
  • Maintain accurate, organized, and accessible operational assets
  • Lead and support system upgrades, process improvements, and technology rollouts
  • Track project timelines, deliverables, and cross-functional coordination
  • Draft, track, and manage contracts, engagement letters, and vendor agreements
  • Assist with budgeting, billing coordination, and expense tracking
  • Manage shift rotations, property schedules, and travel coordination
  • Coordinate internal teams and external vendors
  • Support onboarding and training on systems and processes
  • Provide administrative and operational support to the CEO
  • Troubleshoot minor internal-tool issues and coordinate with external IT partners
