About the Role

You will keep the Somerville, DC, and Montreal offices safe, efficient, stocked, and operational. You will coordinate facilities vendors and contractors, oversee inventory and office-budget activities, support renovation projects and space planning, manage office-event logistics, and communicate workplace updates to employees.

Requirements

  • 2+ years of experience in office management, facilities coordination, or administrative operations
  • Experience managing vendor relationships and completing projects
  • Organizational skills and ability to manage multiple priorities
  • Communication skills with internal teams and external vendors or contractors
  • Proficiency with office software such as Google Workspace for scheduling, reporting, and task tracking
  • Ability to work from the Somerville office 4–5 days per week
  • Openness to occasional travel to other office locations

Responsibilities

  • Ensure the Somerville, DC, and Montreal offices run smoothly and safely
  • Maintain inventory of office supplies, snacks, and workplace necessities
  • Oversee office-budget forecasting and spending with Finance
  • Identify and escalate facilities issues
  • Coordinate vendors and contractors to maintain and improve office infrastructure
  • Coordinate timelines and deliverables for Somerville office improvement projects
  • Support office space planning and operational improvements
  • Support office-related event logistics and day-to-day team needs
  • Communicate construction, parking, and other office logistics to team members
