About the Role
You will lead global facilities and administrative operations across multiple offices. You will oversee daily office services, manage landlords and service providers, negotiate contracts and costs, organize procurement, supervise budgets and payments, and coordinate with IT, HR, Finance, and Legal on office needs, openings, relocations, and expansions.
Requirements
- Solid background in Facilities Management, Office Management, or Operations.
- Strong negotiation and vendor management skills.
- Experience working with budgets and financial tracking.
- Ability to manage multiple locations and priorities simultaneously.
- Fluent English.
Responsibilities
- Lead global facilities and administrative operations across company offices.
- Coordinate Office Managers, administrative staff, and employees responsible for travel arrangements and business meetings.
- Establish unified standards, procedures, and best practices for office and administrative operations.
- Serve as the main escalation point for facilities and office-related matters.
- Oversee daily office operations, including catering, supplies, cleaning, maintenance, access control, physical security, workspace readiness, and employee comfort.
- Manage landlord relationships, leases, renewals, amendments, and service levels.
- Manage service providers and monitor service quality, contractual compliance, and SLAs.
- Negotiate commercial terms, discounts, and cost optimizations.
- Organize procurement of furniture, equipment, consumables, and services across locations.
- Supervise facilities and administrative budgets, spending, and cost-saving measures.
- Provide consolidated cost reporting to Finance and management.
- Manage virtual office contracts, renewals, services, and related payments.
- Ensure compliance with local requirements for registered addresses and administrative presence.
- Collaborate with IT, HR, Finance, and Legal on office-related matters.
- Support office openings, relocations, and team expansions.
