About the Role

You will provide seamless business and personal support to the CEO and Founder. You will manage a complex calendar, coordinate internal and external stakeholders, prepare meeting materials, manage correspondence, and organise key meetings and events. You will track priorities and strategic initiatives, manage expenses and administrative processes, coordinate personal commitments, and handle confidential matters with discretion. You will also identify ways to improve efficiency and support ad hoc business and personal projects.

Requirements

  • Minimum 8 years of Executive Assistant experience supporting CEOs, founders, principals or other senior executives.
  • Experience in investment management, asset management, hedge funds, private equity, venture capital, family offices or similarly demanding professional environments.
  • Experience supporting a founder-led organisation through growth, change and commercial success.
  • Ability to operate as a strategic partner.
  • Organisational skills and attention to detail.
  • Communication and stakeholder management abilities.
  • Emotional intelligence, judgement and discretion.
  • Ability to anticipate needs, solve problems independently and remain calm under pressure.
  • Commercial awareness of the demands of supporting a senior business leader.
  • Ability to manage highly sensitive information with integrity.
  • Long-term commitment to the Executive Assistant profession.

Responsibilities

  • Manage the CEO’s business and personal calendar and prioritise commitments.
  • Act as a trusted gatekeeper and coordinate internal and external stakeholders.
  • Coordinate with Executive Assistants in the CEO Office.
  • Prepare meeting agendas, briefing materials, presentations and supporting documentation.
  • Manage correspondence, emails and communications on behalf of the CEO.
  • Coordinate board, investor and leadership meetings and other business engagements.
  • Track actions, priorities and strategic initiatives and ensure follow-up.
  • Organise events, dinners, meetings and external engagements.
  • Manage expenses, invoices and administrative processes.
  • Coordinate personal appointments, commitments and lifestyle administration.
  • Liaise with household staff, advisers, service providers and external vendors.
  • Handle confidential business and personal matters with discretion.
  • Support ad hoc business and personal projects.
  • Improve efficiency and optimise the CEO’s time and effectiveness.
