About the Role

You provide high-level administrative support to executive committee members or chief officers. You prepare documents and presentations, manage correspondence and calls, arrange meetings, record minutes, handle expenses and reporting, monitor budgets, coordinate department initiatives, resolve administrative issues, support corporate offsites, and help maintain effective operational and compliance controls.

Requirements

  • Post-secondary training in business administration or equivalent education and related experience
  • Five to seven years of experience in a business administration support function
  • Strong technical skills
  • Knowledge of MS Office 2010
  • Experience with Concur expense management system is preferred
  • Coordination, organizational, time-management, and prioritization skills
  • Ability to solve problems independently and make decisions
  • Clear oral and written communication skills
  • Ability to handle sensitive materials under pressure and tight deadlines

Responsibilities

  • Provide high-level administrative support to executive committee members and chief officers
  • Prepare documents and presentation materials
  • Screen and respond to correspondence, inquiries, and phone calls
  • Draft letters and official information releases
  • Arrange meetings and distribute meeting minutes
  • Handle expenses and reporting
  • Monitor, review, and approve standard expenditures
  • Manage monthly variance analysis
  • Coordinate department initiatives
  • Mentor junior administrative team members
  • Resolve and escalate administrative support issues
  • Improve administrative processes and procedures
  • Coordinate corporate offsite logistics and materials
  • Facilitate onsite and offsite events
  • Maintain operational, regulatory, AML/ATF, and conduct risk controls
