About the Role

You will support executives in the Business Development and Strategic Initiatives teams. You will manage complex calendars, expenses, correspondence, travel, meeting preparation and follow-through, leadership offsites and events, process improvements, corporate travel coordination, and occasional personal tasks while maintaining confidentiality and stakeholder alignment.

Requirements

  • 3–5 years of experience in an executive administrative role
  • Experience supporting technology or software teams is desirable
  • Exceptional written, verbal, and interpersonal communication skills
  • Strong attention to detail
  • Ability to handle sensitive information discreetly and confidentially
  • Ability to prioritize conflicting needs and manage time effectively
  • Experience planning and executing team offsites or large-scale events
  • Skill creating decks, agendas, and executive communications
  • Proficiency with Google Workspace
  • Ability to work independently while keeping stakeholders informed
  • Willingness to work on-site five days per week
  • Occasional flexibility outside standard hours for urgent matters

Responsibilities

  • Provide detailed administrative support to executives
  • Manage complex calendars and appointment schedules
  • Process expense reports
  • Compose and prepare confidential correspondence
  • Arrange travel and maintain stakeholder awareness
  • Coordinate calendars for leadership direct reports
  • Manage scheduling requests to support executive time management
  • Gather discussion topics, decisions, and action items for meetings
  • Develop agendas and document meeting notes
  • Ensure meeting follow-through
  • Plan and execute leadership offsites, team events, and gatherings
  • Coordinate logistics, vendors, agendas, and on-site event support
  • Design and implement processes that improve collaboration and efficiency
  • Coordinate corporate travel, conference registrations, and office events
  • Perform occasional personal tasks and errands for leadership
  • Handle clerical and administrative duties
