About the Role
You will plan, coordinate, and execute major conferences, side events, meetups, partner events, and internal events. You will own the events calendar, serve as the primary contact for internal stakeholders and external partners, coordinate sponsorships and speaking engagements, and manage travel, registrations, merchandise, supplies, vendors, contracts, production, and event budgets. You will evaluate conference invitations and market opportunities based on strategic return, maintain consistent attendee and partner experiences, and travel approximately 30% of the time.
Requirements
- Have 5+ years of experience in event management, event marketing, conferences, or partnerships for global technology or web3 events
- Manage events across multiple countries and coordinate multiple events simultaneously in a fast-paced environment
- Have experience managing corporate travel and event contracts
- Understand room blocks, attrition, food and beverage minimums, complimentary room ratios, cutoff and release dates, and cancellation terms
- Build full event plans from briefs and budgets and source appropriate concepts and vendors
- Have experience managing end-to-end event budgets, tracking spending and tradeoffs, staying within budget, and escalating decisions proactively
- Have strong print and production knowledge, including file formats, resolution, color requirements, specification sheets, production timelines, and proof approval
- Communicate excellently in written and spoken English
- Manage deadlines proactively and flag opportunities and decisions well in advance
- Be available for approximately 30% travel, including travel to the United States and other locations as needed
- Ideally have experience with event-management or CRM tools such as Luma, Canva, Figma, and Notion
- Ideally have relationships with conference organizers, venues, and production vendors
- Ideally have experience serving technical or developer audiences, including CTFs or developer-focused activations
- Additional language skills are a plus
- Candidates based in New York City or able to travel there easily are strongly preferred
Responsibilities
- Plan, coordinate, and execute major industry events, smaller conferences, side events, meetups, partner events, and internal events
- Influence event strategy and build and maintain the events calendar
- Act as the main point of contact for internal stakeholders and external partners
- Coordinate sponsorship opportunities and speaking engagements
- Manage travel, logistics, registrations, event materials, merchandise, swag, and supplies
- Triage conference invitations and analyze the market to identify events with strong strategic ROI
- Create a strong, consistent attendee and partner experience
- Build complete event plans from briefs and budgets
- Source concepts and vendors that fit available budgets
- Manage end-to-end event budgets, track spending and tradeoffs, and escalate decisions proactively
- Review and approve print and production proofs
