About the Role

You will support daily facility operations to ensure a safe, efficient, and welcoming workplace. In this customer-facing role, you will conduct building inspections, coordinate work orders, manage vendor relationships, and help with office moves, events, and facility projects. You will process invoices, maintain records, respond to employee requests, and prepare workstations for new hires. You'll also handle light maintenance tasks like furniture assembly and repairs, and you'll be encouraged to spot opportunities for process improvements along the way.

Requirements

  • 2+ years of experience in facilities, workplace services, office management, project coordination, or a related role
  • Experience supporting facility operations, vendor management, workplace services, and administrative processes
  • Strong customer service, communication, and interpersonal skills
  • Strong organizational and problem-solving skills with the ability to manage multiple responsibilities
  • Familiarity with workplace safety standards and CMMS/work order systems
  • Self-starter who learns quickly, exercises sound judgment, and remains calm under pressure
  • Ability to handle sensitive and confidential information with discretion
  • Proficiency in Microsoft Office (Outlook, Excel, Word)
  • Ability to perform physical tasks, including moving furniture and lifting up to 50 pounds
  • Flexibility to work overtime and weekends as business needs require

Responsibilities

  • Conduct daily building inspections to ensure the facility is clean, safe, organized, and operating efficiently
  • Maintain compliance with OSHA and fire safety standards
  • Coordinate and track facility work orders from initiation through completion
  • Coordinate with vendors and contractors supporting workplace operations and facility projects
  • Maintain vendor records, service contracts, and project documentation
  • Process invoices accurately, route them for approval, and maintain financial records
  • Set up and break down meetings, company events, and special functions
  • Respond promptly to employee requests, questions, and workplace concerns
  • Support office relocations, departmental moves, renovations, and workplace reconfigurations
  • Prepare workstations for new hires by coordinating furniture, equipment, and office supplies
  • Perform light maintenance and general handyman tasks including furniture assembly and repairs
  • Identify opportunities for process improvements and report facility deficiencies
