About the Role
Support daily facility operations to ensure a safe, efficient, and welcoming workplace. Conduct inspections, coordinate work orders, manage vendors, support office moves and events, process invoices, respond to employee requests, prepare workstations, perform light maintenance, and identify process improvements.
Requirements
- 2+ years of experience in facilities, workplace services, office management, project coordination, or a related role.
- Experience supporting facility operations, vendor management, workplace services, and administrative processes.
- Strong customer service, communication, interpersonal, organizational, and problem-solving skills.
- Familiarity with workplace safety standards and CMMS/work order systems.
- Ability to learn quickly, exercise sound judgment, remain calm under pressure, and handle confidential information discreetly.
- Proficiency in Microsoft Office, including Outlook, Excel, and Word.
- Ability to move furniture and lift up to 50 pounds.
- Flexibility to work overtime and weekends as business needs require.
Responsibilities
- Conduct daily building inspections and maintain workplace safety.
- Coordinate and track facility work orders.
- Coordinate with vendors and contractors and maintain vendor records and service contracts.
- Process invoices and maintain financial records.
- Set up and break down meetings, events, and special functions.
- Respond to employee requests and workplace concerns.
- Support office relocations, departmental moves, renovations, and reconfigurations.
- Prepare workstations for new hires.
- Perform light maintenance, furniture assembly, and repairs.
- Identify process improvements and report facility deficiencies.
