About the Role

You will support a Music Agent in UTA's London office, handling the day-to-day administrative work that keeps the desk running smoothly. You'll liaise with artists, record labels, talent managers, tour managers, publicists, and concert promoters, while also working closely with business affairs and accounting teams. Your days will involve contracting shows, tracking ticket sales, maintaining artist diaries, and helping ensure final settlements are processed correctly for shows played.

Requirements

  • Previous experience assisting an Agent ideally within the Music department of a talent agency
  • General understanding of current music industry and the nature of a talent agency
  • Excellent verbal and written communication skills
  • Excellent organisational skills
  • Discretion at all times, particularly when dealing with sensitive client matters
  • Ability to prioritise a busy workload
  • Ability to develop business relationships
  • Previous experience in a related field is desirable

Responsibilities

  • Keep the booking system updated at all times
  • Schedule meetings for the agent and manage booking schedules and diaries
  • Proactively resolve enquiries or escalate as appropriate
  • Contract shows accurately, quickly and efficiently
  • Check and compare costings, collating for management
  • Help client management understand gross walk out on a tour, including taxes and other deductions
  • Handle marketing artwork, collate marketing plans and summaries, manage assets and PR, and keep files up to date
  • Collate announcement dates for headline shows and festivals, providing ticket links and age restrictions
  • Check ticket figures and send to management
  • Maintain promoter and business contact details, sending terms of business to new promoters and clients
  • Keep client info up to date including release dates, label, management and account info
  • Manage festival and headline show guest lists, helping with requests
  • Collect support suggestions from agents and present to management
  • Work with artist accounting teams to ensure appropriate taxation
  • Keep account of all money in for shows and chase deposits and payments when needed
  • Request and manage invoices from management and accounts team
  • Chase and check settlements and payments, approving statements for final settlement with the artist
  • Assist management with immigration needs, including filing immigration forms, sponsorship certificates and maintaining passport copies
  • Keep up to date riders and touring info and liaise with Tour Managers to smooth advance
  • Attend shows as required, developing business relationships
