About the Role
You will manage the day-to-day workplace experience at the Oakland headquarters. You will oversee food and beverage services, vendors, onsite events, front desk coverage, amenities, restroom services, badging, facilities support, shipping and mail, accommodations, health and safety supplies, and JIRA requests. You will support employee engagement, workplace communications, and corporate culture programs while maintaining a welcoming onsite environment.
Requirements
- 2+ years of experience in a workplace, facility coordinator, or workplace experience role preferred
- Experience managing workplace amenity programs and vendors
- Experience coordinating, planning, and managing corporate event logistics
- Experience with Google Workspace, Microsoft Office tools, and basic AI knowledge
- Customer service skills
- Organizational skills, attention to detail, metrics reporting, and data-driven critical thinking
- Working knowledge of FedEx and UPS shipping and receiving, including international shipments
- Ability to work onsite five days per week
- Written, verbal, and interpersonal communication skills
- Experience designing or implementing corporate culture and employee engagement programs
Responsibilities
- Manage food, beverage, kitchen, and vendor operations at the Oakland headquarters
- Coordinate onsite meetings, events, catering, logistics, supplies, special requests, and internal communications
- Provide front desk coverage and manage Envoy and virtual reception as needed
- Manage parking, bike parking, garage access, EV management, and gym access
- Manage restroom vendors, inventory, supplies, presentation, and cleanliness
- Manage employee badge access, badge creation, expiration, reporting, and data hygiene
- Assist with space planning, workstation setup, supplies procurement, site aesthetics, intranet updates, maintenance, and event logistics
- Support inbound and outbound shipping, receiving, mail, scanning, and international shipments
- Fulfill business card requests
- Manage workplace accommodations and support OSHA and ADA compliance
- Manage first aid kits, emergency supplies, and familiarity with fire and emergency plans
- Triage and manage workplace requests through JIRA
- Manage employee inquiries and support employee engagement
