About the Role
You will manage vendor onboarding from start to finish, including collecting entity documents, completing KYB/KYC applications, tracking outstanding items, and following up with counterparties and internal stakeholders. You will prepare document packages, coordinate due diligence questionnaire responses, and keep onboarding status, blockers, owners, and next steps current across concurrent workstreams. You will route contracts through Legal, coordinate document requests and KYC refreshes with Compliance, and proactively escalate delays. You will serve as a primary vendor contact, communicate clear updates internally and externally, file completed materials for audit readiness, and use AI tools to draft communications, organize documentation, maintain tracking tools, and speed up repetitive work.
Requirements
- Experience independently running operations, vendor management, compliance, or legal-coordination workstreams end to end.
- Ability to manage multiple open workstreams without missing details or deadlines.
- Ability to follow up persistently with external counterparties and internal teams.
- Strong written communication skills.
- Proficiency with document management and workflow tools such as Google Drive, Notion, and DocuSign.
- Fluency with AI tools for drafting, organizing, analyzing, and building lightweight tooling.
- Working knowledge of entity documentation, including incorporation certificates, beneficial ownership disclosures, and W-8s.
- Working knowledge of institutional KYB/KYC processes.
Responsibilities
- Execute end-to-end vendor onboarding, including gathering entity documentation, completing KYB/KYC applications, tracking outstanding items, and following up with counterparties and internal stakeholders.
- Prepare document packages, including corporate structure materials, beneficial ownership disclosures, AML certifications, authorized signatory forms, and tax documents.
- Track multiple concurrent onboardings and maintain clear status, blockers, and next actions.
- Coordinate due diligence questionnaire responses and own them through submission.
- Route contracts and agreements through Legal for review and follow up to keep them moving.
- Coordinate with Compliance on document requests, KYC refresh cycles, and AML certifications.
- Proactively flag delays and blockers to internal stakeholders and counterparties.
- Maintain accurate onboarding records in shared trackers.
- File executed agreements, completed due diligence questionnaires, and supporting materials for audit readiness.
- Use AI tools to draft communications, organize documentation, maintain tracking tools, and accelerate repetitive work.
- Serve as a primary point of contact with vendors during onboarding.
- Keep internal stakeholders informed of status, blockers, and expected timelines.
