About the Role
You'll be responsible for the efficient functioning of our Kinshasa office through various administrative, logistic, and office management tasks. You'll manage staff records, coordinate day-to-day office operations, support domestic and international travel arrangements, and handle correspondence and queries with confidentiality. You'll also support the people operations team in sourcing quality facilities, monitor the canteen and vendors, and keep the workspace clean and organized through regular cleaning schedules. You'll build and maintain relationships with local service providers, follow up on utility bill payments, manage the vehicle fleet, organize company events, and coordinate meeting room bookings.
Requirements
- Bachelor's degree or professional training in business administration, human resources, or a related field
- Fluent in French and a very good command of written and spoken English
- Computer proficiency
- 5 years experience in an administrative / office management / HR role
- Strong organizational and time management skills and ability to prioritize
- Work authorization in Congo (DRC) is required
Responsibilities
- Manage all staff record maintenance
- Coordinate and oversee administrative duties and logistics in the office
- Oversee and support domestic and international travel, including flight, hotel, and car rental reservations
- Deal with confidentiality with correspondence, complaints, and queries
- Support the people operations team in sourcing and maintaining quality facilities for Wave
- Monitor and manage the canteen and the vendors
- Maintain a clean, tidy, and well-organized work environment by planning deep cleaning and regular meetings with cleaners
- Establish and maintain relationships with local service and resource providers
- Follow up on bill payment for facility utilities, including office electricity, water, and canteen
- Manage the vehicle fleet
- Organize and execute company events in Congo (DRC)
- Coordinate office room bookings for meetings and training
