About the Role

You will support executive leaders by managing complex calendars across time zones, coordinating travel and events, preparing meeting materials, tracking requests, and handling confidential information. You will serve as a responsive liaison for internal and external stakeholders and provide coverage for other executive staff when needed.

Requirements

  • 5+ years of executive administrative experience.
  • Advanced Gmail and Google Calendar skills.
  • Experience supporting multiple executives across time zones.
  • Organizational, time-management, prioritization, and project-management skills.
  • Ability to communicate with C-level Executive Assistants.
  • C1 English proficiency.
  • Experience planning large-scale meetings, events, travel logistics, budgets, and vendor coordination.
  • Discretion when handling confidential information.
  • Willingness to adjust working hours for primarily US time zones.
  • Occasional travel to the United States.
  • B1/B2 visa preferred.

Responsibilities

  • Manage and optimize complex multi-time-zone calendars.
  • Plan and execute executive travel, team offsites, and high-visibility events.
  • Act as the primary contact for meeting and event requests.
  • Maintain records of meetings, events, and requests and ensure timely follow-up.
  • Prepare briefing materials, agendas, and follow-up documentation.
  • Provide coverage and support for other executive staff.
  • Handle confidential information with discretion.
  • Build relationships with executive assistants, business partners, and stakeholders.
  • Travel occasionally to the United States.
