About the Role

You will coordinate complex calendars meetings travel and expenses across multiple time zones. You will manage correspondence update CRM and proprietary systems prepare client materials and reports and support daily office operations and related administrative projects in Hong Kong.

Requirements

  • Bachelor's degree with a proven record of academic success.
  • 2 to 6 years of relevant executive assistance or office administration experience.
  • At least two years of private equity or financial services experience is preferred.
  • Experience managing complex calendars meetings travel and expenses.
  • Ability to anticipate needs and resolve issues.
  • Professionalism discretion and respect for confidential information.
  • Desire to learn assignment context and develop industry knowledge.
  • Professional presence customer-service orientation and effective communication skills.
  • Ability to work independently within a team context.
  • Strong skills in Microsoft Word Excel and PowerPoint.
  • Database experience.

Responsibilities

  • Manage complex calendars and coordinate logistics across multiple time zones.
  • Arrange domestic and international travel including accommodations and car services.
  • Prepare and reconcile travel and expense reports.
  • Coordinate meetings and travel with internal and external assistants.
  • Manage correspondence and prioritize information requests.
  • Support team processes including data entry calendar coordination and communication.
  • Track interactions and update attendee data in the CRM database.
  • Run reports and enter client and prospect relationship data into Salesforce and proprietary systems.
  • Prepare proofread format and distribute client-sensitive correspondence and documentation.
  • Prepare and print customized client meeting materials.
  • Oversee daily office operations including supplies catering meeting rooms and upkeep.
  • Assist with client communications reporting and other projects.
  • Provide backup support to other administrative professionals.
