About the Role

You support two Creator Agents by managing schedules, inboxes, meetings, travel, expenses, invoices, client payments, contact details, proposals, materials, and office coverage. You build industry relationships, support client events, handle immigration administration, and help maintain smooth agent operations.

Requirements

  • Previous experience in the entertainment industry is desired
  • Knowledge and interest in podcasts, social media, and the US market
  • General understanding of the entertainment industry and talent agencies
  • Excellent verbal and written communication
  • Excellent organizational skills
  • Familiarity with Outlook, Word, and Excel
  • Accuracy and attention to detail
  • Discretion when handling sensitive client matters
  • Experience using social media platforms
  • Ability to prioritize a busy workload
  • Ability to develop and maintain business relationships
  • Professional conduct

Responsibilities

  • Manage the agents' inboxes efficiently and proactively
  • Schedule meetings and agendas and prepare meeting logistics and documentation
  • Resolve enquiries or escalate them appropriately
  • Manage and submit agent expenses and accounting
  • Coordinate agent travel and accommodations
  • Provide office cover when agents are away
  • Answer phones, transfer calls, take messages, and cover colleagues
  • Process invoices, track client payments, and submit client expenses
  • Maintain client and business contact details
  • Send terms of business as required
  • Build and maintain relationships with production companies and business contacts
  • Attend live client events as required
  • Listen to podcasts and discuss observations with colleagues
  • Submit and follow up on agent proposals
  • Coordinate meetings for agents and clients
  • Update client materials
  • Assist with immigration forms, sponsorship certificates, and passport records
