About the Role
Provide comprehensive administrative support to Vice Presidents, Directors, and Managing Directors in a fast-paced investment banking environment, including calendar management, email correspondence, travel coordination, meeting logistics, materials preparation, client interaction, and expense processing.
Requirements
- 2–4 years of experience in an administrative support role, preferably in professional or financial services.
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask, prioritize effectively, and thrive in a fast-paced setting.
- Proficiency in Microsoft Office Suite and Zoom.
- Familiarity with travel booking tools such as Brex is a plus.
- Comfort operating in a small, collaborative office environment.
- Proactive problem-solving skills and ability to work independently and as part of a team.
- Bachelor's degree required.
- U.S. work authorization required; no visa sponsorship.
Responsibilities
- Provide administrative support to senior team members, including calendar management, email correspondence, and travel coordination.
- Coordinate meetings with clients, investors, and deal counterparties.
- Create and manage detailed travel itineraries, including flights, hotels, and ground transportation.
- Coordinate conference rooms, video conferencing, and meeting materials.
- Handle last-minute changes as deal and client priorities shift.
- Serve as a polished first point of contact for clients, partners, and senior leadership.
- Process expense reports and reimbursements accurately and on time.
