About the Role
You will provide comprehensive administrative support to Vice Presidents, Directors, and Managing Directors in a fast-paced investment banking environment. You will manage calendars across multiple time zones, handle email correspondence, and coordinate travel and detailed itineraries, often on short notice. You will organize meetings with clients, investors, and deal counterparties, arrange conference rooms and video conferencing, and prepare meeting materials. You will serve as a polished first point of contact for clients and senior leadership, process expense reports and reimbursements accurately and on time, and handle last-minute changes gracefully as deal priorities shift.
Requirements
- 2–4 years of experience in an administrative support role, preferably within professional services or financial services
- Exceptional organizational skills and meticulous attention to detail
- Strong written and verbal communication skills with the maturity to interact confidently with senior executives and clients
- Demonstrated ability to multitask, prioritize effectively, and thrive in a fast-paced, dynamic setting
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Zoom
- Familiarity with travel booking tools such as Brex is a plus
- Comfortable operating within a small, collaborative office environment
- Proactive problem-solver who works well independently and as part of a team
- Bachelor's degree required
- U.S. work authorization required (no visa sponsorship)
Responsibilities
- Provide comprehensive administrative support to senior team members, including calendar management across multiple time zones, email correspondence, and travel coordination
- Drive efficiency through strong organization, attention to detail, and effective prioritization of multiple deadlines
- Coordinate meetings involving clients, investors, or deal counterparties, anticipating conflicts before they arise
- Create and manage detailed itineraries including flights, hotels, and ground transport, often on short notice
- Coordinate conference rooms, video conferencing, and materials for both internal and external meetings
- Handle last-minute changes gracefully when deals or client needs shift priorities
- Serve as a polished first point of contact for clients, partners, and senior leadership
- Process expense reports and reimbursements accurately and on time
