About the Role
You support project schedules, reconcile vendor payments, maintain project documentation, coordinate meetings and action items, liaise with vendors, prepare status reports, assist with site logistics, and control technical document distribution.
Requirements
- Bachelor’s degree in construction management, business administration, engineering, or a related field
- 2+ years of coordination or administrative experience
- Microsoft Office Suite proficiency, especially Excel
- Exposure to Procore, Microsoft Project, or Smartsheet
- Strong organizational skills
- Written and verbal communication skills
- Ability to manage multiple tasks in a fast-paced environment
- Ability to travel to project sites and move safely through construction environments
- Understanding of data center infrastructure or MEP systems is preferred
- CAPM or interest in pursuing PMP certification is preferred
- Experience with accounting or ERP systems is preferred
- CSTS 2020 and WHMIS 2015 are preferred
Responsibilities
- Maintain master project schedules
- Compile schedule updates from subcontractors and vendors
- Track and audit project milestones
- Update timelines in project management software
- Coordinate meetings across global time zones
- Reconcile vendor and contractor invoices against contracts
- Track budget expenditures
- Assist with financial forecasts and cost-to-complete reports
- Maintain project documentation
- Prepare agendas and record meeting minutes
- Track action items
- Coordinate vendor administrative requirements and onboarding documentation
- Consolidate stakeholder data for project status reports
- Assist with site logistics
- Manage technical specification and submittal filing and distribution
