About the Role

You will own the operational layer that keeps deals moving. You will draft, review, and process commercial documents; maintain organized repositories and version control; and support contract renewals and compliance tracking. You will assist in sourcing hardware, track inventory and lead times, coordinate vendor quotes and order confirmations, and manage distributor registrations. You will research and document product specifications, prepare export and shipping documentation, conduct denied party and export control screening, and coordinate with freight forwarders, carriers, and customs brokers. You will log and maintain accurate deal and account data in the CRM, build workflows and automations, audit data quality, and produce sales and pipeline reports and dashboards. You will serve as the operational contact between Sales, Finance, and Legal, assist onboarding customers and vendors, and help with logistics and follow-up for industry events.

Requirements

  • Based in the United States or Canada
  • Bachelor's degree in Business, Operations, Supply Chain, Finance, or a related field
  • 1–3 years of experience in sales operations, trade operations, logistics, or administrative roles, preferably in a technology or hardware environment
  • Familiarity with U.S. export regulations (EAR, ECCN classifications, OFAC) and international shipping documentation
  • Experience coordinating with freight forwarders, customs brokers, or carriers and working with commercial invoices, packing lists, BOLs, SED/EEI filings
  • Comfort researching and documenting product specifications (weight, dimensions, configurations)
  • Proficiency with CRM platforms (HubSpot strongly preferred) and experience building reports, workflows, and dashboards
  • Strong working knowledge of commercial document workflows such as contracts, invoices, and purchase orders and coordinating with legal and finance stakeholders
  • Familiarity with OEM/ODM/VAR partner portal processes and distributor registration programs (strong plus)
  • Solid data skills with Excel or Google Sheets and ideally BI tools such as Looker or Tableau
  • Exceptional organizational skills and attention to detail
  • Strong written communication skills
  • Ability to manage multiple priorities in a fast-moving environment
  • Interest in or exposure to AI, HPC, data center, or enterprise hardware markets

Responsibilities

  • Draft, review, and process commercial documents including NDAs, sales agreements, purchase orders, and invoices
  • Maintain organized document repositories and ensure version control
  • Support contract renewals, amendments, and compliance tracking
  • Identify and vet hardware supply sources across OEMs, ODMs, distributors, and secondary markets
  • Track inventory availability, lead times, and pricing to support deal execution
  • Coordinate with vendors on quote requests, allocation inquiries, and order confirmations
  • Research and document product specifications including configurations, weights, and dimensions
  • Prepare and process export documentation including commercial invoices, packing lists, certificates of origin, SED/EEI filings, and EAR/ECCN filings
  • Conduct denied party and export control screening in accordance with U.S. export regulations
  • Coordinate with freight forwarders, carriers, and customs brokers to ensure accurate and timely shipments
  • Monitor shipment status and proactively resolve logistics issues or documentation gaps
  • Maintain a compliance log for international transactions and flag items requiring licensing review
  • Log and maintain accurate deal, contact, and account data in the CRM
  • Build and manage workflows and automation to reduce manual data entry and improve pipeline visibility
  • Audit CRM data quality and flag inconsistencies
  • Manage reseller, VAR, and distributor registration processes and track renewal dates
  • Pull, clean, and analyze sales and pipeline data to produce weekly and monthly performance reports
  • Build dashboards and visualizations to track KPIs including revenue, margin, pipeline velocity, and win/loss trends
  • Support market analysis, competitive landscape summaries, and customer segmentation insights
  • Serve as operational point of contact between Sales, Finance, and Legal for deal-related administrative needs
  • Assist onboarding new customers and vendors by coordinating documentation, compliance checks, and system setup
  • Support industry events and trade shows with logistics, materials, and follow-up tracking
