About the Role

You will manage phone calls, calendars, and meeting and travel logistics, ensuring schedules run smoothly and priorities stay organized. You will create and maintain spreadsheets, trackers, presentations, and written communications to support day-to-day business. You will coordinate with internal teams and external clients, managers, promoters, and business partners in a professional and timely manner. You will track client calendars, contracts, payments, and key deadlines with strong attention to detail. You will prepare expense reports, meeting materials, press kits, and other administrative documents. You will conduct research and gather information to support meetings, projects, and client initiatives. You will help develop and maintain organized processes that improve efficiency and keep the team operating effectively. You will assist with multiple projects at once while adapting to changing priorities in a fast-paced environment. You will take initiative, ask thoughtful questions, and proactively follow up to help keep projects moving. You will support the day-to-day operations of a busy touring desk with a positive attitude, strong organizational skills, and a willingness to learn.

Requirements

  • Bachelor's degree is strongly preferred but not required
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
  • Extreme attention to detail and commitment to producing accurate, high-quality work
  • Strong written and verbal communication skills, with a professional and collaborative approach
  • Strong problem-solving skills with the ability to think critically, use sound judgement, and identify solutions independently
  • Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint
  • A proactive mindset with a willingness to take initiative, solve problems, and learn quickly
  • Previous experience in live entertainment, music, sports, or a related industry is preferred
  • Booking experience is a plus
  • Familiarity with UTA's music roster
