About the Role
You will provide proactive administrative support to senior professionals. You will manage calendars and meetings, coordinate global travel, process expenses, support board and committee activities, maintain corporate records and files, liaise with stakeholders, and assist with ad hoc projects.
Requirements
- Minimum 2 years of experience supporting multiple leaders or teams in an administrative capacity.
- Experience supporting corporate secretary or board functions is highly desirable.
- Exceptional communication and interpersonal skills.
- Strong organization, attention to detail, multitasking, and prioritization skills.
- Advanced proficiency in Microsoft Office, including Outlook, Excel, and PowerPoint.
- Experience coordinating complex travel arrangements.
- Demonstrated integrity, discretion, and commitment to confidentiality.
- Familiarity with Ramp, Workday, and Deem is a plus.
Responsibilities
- Coordinate complex calendars and internal and external meetings.
- Organize weekly and monthly team meetings, including logistics and follow-up.
- Book conference rooms and manage guest and visitor logistics.
- Arrange global travel, including flights, visas, hotels, cars, itineraries, and trip packets.
- Maintain travel spreadsheets.
- Process and track corporate expenses, receipts, and reimbursements.
- Prepare, distribute, and archive board and committee meeting materials.
- Coordinate board and committee meeting logistics and attendee communications.
- Maintain corporate records, minutes, and resolutions in compliance with legal and regulatory requirements.
- Support corporate document filings and regulatory submissions.
- Liaise with directors, officers, external advisors, and other stakeholders.
- Screen calls and serve as a gatekeeper for the team.
- Maintain and organize digital and physical files.
- Support ad hoc projects.
- Provide back-up support for other senior professionals.
