About the Role

You will support venue activations and events, coordinate programs and partner events, manage venue requests, schedule spaces and vendors, oversee onsite logistics, and maintain venue spaces. You will track event deliverables, budgets, communications, documentation, and workflows while assisting with administrative event needs.

Requirements

  • Ability to work evenings or weekends for events.
  • Reliable laptop computer and smartphone for work use.
  • Plan to stay in Texas for at least two years.
  • Reliable transportation.
  • Ability to use Google productivity tools, including Gmail, Drive, Docs, Sheets, and Slides.
  • Availability during SXSW, DREAMCON, and Austin Startup Week.

Responsibilities

  • Manage internal and external venue requests and inquiries.
  • Assist with Capital Factory events.
  • Schedule event spaces, vendors, and food and beverage vendors.
  • Manage onsite logistics for catering and external vendors.
  • Manage venue requests for stakeholder clients.
  • Maintain and deploy physical venue spaces.
  • Project-manage multiple online and in-person events simultaneously.
  • Coordinate and track event logistics and deliverables from inception through completion.
  • Collaborate with internal teams to complete event deliverables on time.
  • Coordinate event marketing, communications, website updates, and registration.
  • Create and update event documentation, timelines, folders, and documents.
  • Track event budgets and expenses.
  • Document processes and improve event workflows and communication.
  • Support administrative projects, staff meal ordering, and coworking members.
  • Lift, carry, push, or pull up to 30 pounds with or without assistance.
