About the Role
You'll be the senior operational backbone for the People team, building systems and processes that scale as the company grows. You'll own everything touching office operations, compensation and benefits, and company logistics, including high-stakes events like international company trips. You'll partner closely with HR Admin and act as the main bridge between People, Finance, Legal, and external vendors, setting the standard for operational excellence across the team.
Requirements
- 3–5 years of experience in HR operations, C&B, or office administration with at least some time in a senior or lead capacity
- Solid, working knowledge of Vietnamese labor law, PIT, and social/health insurance regulations
- Strong Excel skills including building a payroll checker, budget tracker, or pivot dashboard from scratch
- Experience planning and executing company events or trips including managing budgets vendors and logistics end-to-end
- Detail-oriented and organized
- Comfortable working across Finance, Legal, and external vendors
- Clear communicator in Vietnamese with working English (written and spoken)
- Experience working with a payroll vendor or HRIS system (nice-to-have)
- Background in a startup or tech/gaming environment (nice-to-have)
- Familiarity with C&B benchmarking or compensation structures (nice-to-have)
- Experience in a startup or scale-up environment (nice-to-have)
Responsibilities
- Manage office supplies inventory, forecast monthly needs, raise POs, and reconcile invoices
- Coordinate with building management for facility issues, access cards, and maintenance requests
- Oversee pantry, tea-time, and office cleanliness standards
- Plan and execute internal activities
- Maintain and optimize the monthly office budget including tracking reporting and variance analysis
- Handle administrative paperwork including contracts company letters notarization and government submissions
- Act as the main point of contact with the payroll vendor and review monthly payroll inputs
- Maintain up-to-date employee data including salary records allowances and insurance registration or termination
- Manage social insurance health insurance and PIT-related tasks in compliance with Vietnamese labor law
- Support annual salary review cycles including data preparation benchmarking and letter generation
- Liaise with internal Accounting and Legal teams for HR-related financial and compliance matters
- Respond to employee queries about payslips benefits entitlements and deductions
- Maintain accurate headcount and employee records in HR systems
- Support onboarding admin by preparing employment contracts and coordinating equipment setup with IT
- Assist the Head of People and TABP on ad-hoc projects
