About the Role
You will provide direct administrative support to senior leadership in the New York office. You will manage complex calendars across time zones, coordinate domestic and international travel, prepare expense reports, organize meetings, maintain CRM data, prepare client materials, welcome visitors, and provide backup administrative support.
Requirements
- Have 8–10 years of executive administrative support experience for senior executives.
- Have investment management or financial services experience.
- Demonstrate experience with calendar management, meeting coordination, and high-volume domestic and international travel.
- Have strong organizational, multitasking, time-management, communication, and customer-service skills.
- Handle confidential information with discretion.
- Be proficient in Office 365, databases, CRM platforms, and Concur or similar expense software.
Responsibilities
- Manage complex calendars and logistical coordination across multiple time zones.
- Arrange domestic and international travel, accommodations, transportation, reservations, visas, and related logistics.
- Prepare, review, submit, and reconcile expense reports.
- Coordinate meetings and travel with internal and external assistants.
- Enter and manage activity data in the CRM platform.
- Prepare meeting materials, client correspondence, presentations, and documents.
- Welcome clients and visitors.
- Provide backup support to administrative professionals.
- Manage printing, scanning, electronic files, correspondence, phone calls, and emails.
- Perform general office support and additional projects as requested.
