Events Marketing Specialist (Contract)

About the Role

You will support logistics and execution for Tier 2 and Tier 3 events, coordinating vendors, venue requirements, sponsorship deliverables, and shipments. You will manage booth and AV needs, prepare field teams with materials, and identify activations that drive engagement. You will maintain Notion-based event trackers, prepare “Know Before You Go” documentation, manage event communications (calendar holds, Slack channels), and create or manage Splash and Luma registration pages. You will ensure events are listed accurately on the website, draft and coordinate pre- and post-event social posts, track design requests and asset delivery, and support procurement including swag sourcing and spend tracking. You will collaborate across time zones with AMER and EMEA stakeholders and operate with high autonomy.

Requirements

  • Availability during EST time zone (ideally starting by 7am EST) to support AMER and EMEA
  • 3+ years of experience supporting B2B marketing events or field marketing programs, ideally in SaaS or high-growth environments
  • Hands-on experience with event logistics, vendor coordination, and sponsorship execution
  • Experience implementing AI-native automations and tooling to maximize efficiency and scale
  • Strong organizational skills and attention to detail with ability to manage multiple workstreams and deadlines
  • Comfortable collaborating across time zones with AMER and EMEA stakeholders
  • Clear, proactive communicator with ability to operate with high autonomy and ownership
  • Nice to have: experience using Notion for tracking
  • Nice to have: familiarity with Splash, Luma, or similar registration tools
  • Nice to have: experience with design ticketing or creative request systems
  • Nice to have: prior exposure to regional or international event programs

Responsibilities

  • Support event logistics and execution for Tier 2 and Tier 3 events
  • Coordinate vendors and manage sponsorship deliverables
  • Manage booth logistics including AV, electricity, internet, carpeting, furniture, and swag shipments
  • Prepare field teams with information and materials for on-site success
  • Identify and support lightweight event activations to drive engagement
  • Coordinate partner joint executions such as co-hosted happy hours and shared booth activations
  • Source venues for happy hours and smaller networking events
  • Maintain and update Notion-based trackers for third-party events
  • Prepare and distribute Know Before You Go documentation
  • Manage event communications including calendar holds and Slack channel creation
  • Create and manage Splash and Luma registration pages
  • Ensure events are accurately listed on the company website
  • Draft and coordinate pre- and post-event social posts
  • Track design requests and ensure timely delivery of booth graphics and event signage
  • Support event procurement, swag sourcing, and vendor coordination
  • Maintain documentation for spend tracking, contracts, invoices, and post-event notes
